Flight listing policy and procedures

Flight listing is required for all standby travel on Virgin Atlantic.  

- If you purchased your ticket through myIDTravel and your ticket number begins 932 (Virgin Atlantic ticket stock) a listing is made automatically at the time the ticket is issued.  No further action is necessary.

- If your ticket number does not begin with 932 (i.e. it begins with your own airline ticket stock number), you must create a listing through Virgin Atlantic:

The subject should be XX listing request for DD/MMM/YY (where XX = your airline code/name)
Please include:
- All passenger names as per the ticket
- Date of birth of all passengers
- Route/flight number/date
- Passenger contact telephone number

Telephone: +44 (0) 344 742 4390 (opening hours Mondays, Tuesdays, Thursdays and Fridays UK time 10:00-14:00, Wednesdays 10:00-12:00, closed weekends and UK bank holidays)

Ticket numbers (consisting of 13 digits) will be required at the time of listing for all passengers

A flight coupon must be issued for each sector e.g. if for Heathrow (LHR) - Grenada (GND) this flight routes via Barbados (BGI), this must be issued as LHR - BGI - GND

Check in

Where possible use online check in and only use the Economy Bag Drop. Do not go to the Premium or Upper Class Check In.  Seats will either be allocated at check in or you will be given a 'seat at gate' boarding pass.

All codeshare flights are excluded.

Embargoes

Embargoes can be placed at any time, you are responsible for checking embargoes before travel.  Issuance of a ticket and/or creation of a listing does not guarantee that an embargo does not exist.

If you purchased your ticket through myIDTravel and your ticket number begings with 932 (Virgin Atlantic ticket stock), flights to/from St Vincent, Grenada, Antigua (Antigua only when operating via Barbados) and Montego Bay (Montego Bay only when operating via Nassau) are embargoed until further notice.

Caribbean inter-island flights are embargoed until further notice.

Young persons (age 12-15 years)

If you purchased your ticket through myIDTravel and your ticket number begins with 932 (Virgin Atlantic ticket stock) the system charges UK Airport Departure Tax.  Virgin Atlantic will automatically refund this tax after travel.

Dress code

When travelling on Virgin Atlantic, staff and their family and companions must always maintain a smart, clean and tidy appearance

·         All clothing and footwear must be clean and must not be torn or ripped  

·         Beach or swimwear is not allowed on staff travel, we have relaxed the policy to allow you to wear long shorts and t-shirts so the swimwear can be packed in your case. So please ensure you are not wearing the following for your flight: Swimsuits, Bikinis, Speedos, swimming shorts/trunks, sarongs or kaftans

·         Whilst we don’t expect you to be fully covered up, especially at some of our lovely sunny destinations, in order to be respectful of all local cultures and to maintain a certain appearance, please do not wear revealing or provocative clothing

·         This means no low cut tops, bare midriff, see through clothing, very short shorts/skirts or dresses (anything above mid thigh) or clearly visible underwear

·         Whilst slogans of branded clothing will be permitted, please do not wear offensive slogans on your clothes. Some terminology or images can be deemed offensive, if in doubt don’t wear it

·         The Company "reserves the right" to refuse boarding to anyone travelling whom it deems has not adhered to the Staff Travel Dress code Policy

·         The decision made by the Airport Staff will be final

Other

Lounge/Clubhouse access is not permitted on leisure travel.

If you are lucky enough to be sat up front:

  • If you are offered a sleep suit in Upper Class please turn it down
  • You can have a drink at The Bar/Loft or Booth however please don't prolong your stay there
  • If your fellow travellers are in a different cabin, they won't be able to join you

You or anyone travelling on staff travel flights are not permitted to accept/request 'Flying Club Miles'.
